- Please note: Each Accommodation Type may have differing Policies and Terms & Conditions. Please make sure you read the correct section for what you are booking for.
- By sending a booking request / paying for your booking you automatically agree to these policies and terms & conditions.
- Policies & Terms and Conditions may differ for Tour Operators.

HOTEL ACCOMMODATION

Reservation Policy
- A quotation is a non-binding offer and the room will not be held.
- Bookings / Changes must be done in writing.
- A 100% deposit is needed to confirm your booking.
- If no deposit is received within 48 hours, we cannot hold the reservation for you.
- Balance payment must be done prior to arrival.
- We will gladly confirm your booking once funds received in full and upfront. Unfortunately unpaid booking requests will no longer taken into consideration and remain unconfirmed.
- Companies: Full payment must be done 7 days prior to arrival, or a Company order in writing.
Cancellation Policy
Should you cancel your reservation with us the following cancellation fees apply:
- 30 - 23 days prior arrival date 10% service fee of full invoice amount.
- 22 - 15 days prior arrival date 35% of full invoice amount.
- 14 - 7 days prior arrival date 50% of full invoice amount.
- 6 - 1 days prior arrival date 90% of full invoice amount.
- NO SHOW 100% of full invoice amount.
The above cancellation policy will apply, regardless of any circumstances, including, but limited to, the Coronavirus pandemic or other global crises.
Please note: Tourist Travel insurance should cover possible Covid-19 related situations when the clients are travelling.
Check In and Check Out

- Check - In: as from 14:00.
- Check - Out: 10:00.
- A N$100 fee will be charged for the first hour after 10h00am, after one hour the full rate for one night.
- Early check-ins or late check-outs must be arranged before.
- A N$500 fee will be charged should you not return the key at check-out.
Room Guideline
- All rooms are strictly NON-SMOKING and ground levelled.
- All rooms are non self-catering.
- Single Room: 1 guest per room (no extra bed)
- Double / Twin Room: 2 guests per room (no extra bed)
- Family Room: Only for families with children younger than the age of 12 years
- Minimum 3 pax and a maximum of 4 pax per family unit
- Children aged 0 - 2: stay with one paying adult free of charge; baby cot will be provided.
- As from the age of 3 to 11 years, family rooms are available at full family-room-rate per child and adult.
- Children as from the age of 12 will be handled as adults and are at full accommodation rate; no family room occupation possible.
Pet Policy
- Strictly no pets allowed on the premises.
- Please note: There may be Hotel owned dogs present at the Hotel, due to this as well as the wildlife in the area there is a strict no dog / pet policy.
Food & Drink Policy
Strictly no own food or drinks allowed in our Restaurant & Beer Garden.
- We ONLY do traditional Namibian farm-style cooking. We do NOT cater for other cultures rituals and cooking methods.
- Allergies and food restrictions should be told to the kitchen before ordering, or for dinner & breakfast bookings, mentioned before arrival.
- As per law, no liquor may be served on public holidays or Sundays with out meals.
- The hotel is not self catering.
- All our prices, unless specified otherwise, include dinner & breakfast. Drinks are not included.
- Breakfast is served between 06:00 – 09:00.
- If you plan to depart before 06:00 in the morning and therefore not able to have breakfast with us, please inform us about this arraignment on or before arrival – so that we can pre-pack a wonderful breakfast packet for you.
- Dinner is a 3-course set menu, and starts at 19:00.
- Dinner does not include drinks nor can items of food be traded for drinks.
- Day menu orders run from 06:00 - 18:00.
- No own food or drinks are allowed to be consumed in our Restaurant & Beer Garden. You will be kindly asked to leave.
Electricity
Helmeringhausen Hotel is environmentally friendly, using solar power as our only source of electricity. Due to this, we have a limited electric supply.
- Strictly, no running cables to your vehicles to power fridges or other high consuming electronical devices.
- There are no fridges in the rooms but you are more than welcome to ask at reception to have your refrigerated and frozen items stored.
- There are no rooms with air conditioners but all the rooms are supplied with fans.
WiFi
- Free WiFi is available to hotel guests, however it unfortunately does not reach the rooms. It is useable in the Restaurant and Beer-Garden.
Right of Admission
- We reserve right of admission.
- Helmeringhausen Hotel & Guest Farm is privately owned and any person who we, the owners, perceive as rude or out of order, can be asked to leave immediately, without prior notice.
Damages
- Any damage to facilities, breakage or guest amenities used during your stay and any outstanding bills must be settled upon departure.
- Should you fail to make payment, you hereby authorise Helmeringhausen Hotel to take payment with your card details provided. If no card details are provided you will receive a bill that will be sent to your email address and will be expected to settle it at soon as possible. If it is not settled by the provided date legal action may be taken.
- We will not be held responsible for any claims for loss or damages to property, personal injury or any loss of life, howsoever caused, including but not limited to gross negligence.
- By paying for your stay and/or clicking on the agree to terms & conditions, you automatically agree to these terms.

Ablutions & Hot Water
- Clean ablution facilities with hot showers heated by a donkey boiler as from 18:00 - 19:00.
- There will be no hot water in the mornings.

- Balance payment must be done prior to arrival.

- Companies: Full payment must be done 7 days prior to arrival, or a Company order in writing.
Cancellation Policy
Should you cancel your reservation with us the following cancellation fees apply:
- 30 - 23 days prior arrival date 10% service fee of full invoice amount.
- 22 - 15 days prior arrival date 35% of full invoice amount.
- 14 - 7 days prior arrival date 50% of full invoice amount.
- 6 - 1 days prior arrival date 90% of full invoice amount.
- NO SHOW 100% of full invoice amount.
The above cancellation policy will apply, regardless of any circumstances, including, but limited to, the Coronavirus pandemic or other global crises.
Please note: Tourist Travel insurance should cover possible Covid-19 related situations when the clients are travelling.
Food & Drink Policy
Strictly no own food or drinks allowed in our Restaurant & Beer Garden.
- We ONLY do traditional Namibian farm-style cooking. We do NOT cater for other cultures rituals and cooking methods.
- Allergies and food restrictions should be told to the kitchen before ordering, or for dinner, lunch & breakfast bookings, well in advance.
- As per law, no liquor may be served on public holidays or Sundays without meals.
- The bar is a serve bar of the restaurant. It is not a public bar.
- Day menu orders run from 06:00 - 18:00 at the Hotel.
- Breakfast is served between 06:00 – 09:00.
- Dinner is a 3-course set menu, and starts at 19:00.
- Dinner does not include drinks nor can items of food be traded for drinks.
- No own food or drinks are allowed to be consumed in our Restaurant & Beer Garden. You will be kindly asked to leave.
WiFi
- There is currently no WiFi available for Restaurant guests due to limited availability.
Pet Policy
- Strictly no pets allowed on the premises.
- Please note: There may be Hotel owned dogs present at the Hotel, due to this as well as the wildlife in the area there is a strict no dog / pet policy.
Right of Admission
We reserve right of admission. Helmeringhausen Hotel & Guest Farm is privately owned and any person who we, the owners, perceive as rude or out of order, can be asked to leave immediately, without prior notice.
Damages and Claims
Any damage to facilities, breakage or guest amenities used during your stay and any outstanding bills must be settled upon departure.
Should you fail to make payment, you hereby authorise Helmeringhausen Hotel to take payment with your card details provided. If no card details are provided you will receive a bill that will be sent to your email address and will be expected to settle it at soon as possible. If it is not settled by the provided date legal action may be taken.
We will not be held responsible for any claims for loss or damages to property, personal injury or any loss of life, howsoever caused, including but not limited to gross negligence.
By paying for your restaurant reservations and/or clicking on the agree to terms & conditions, you automatically agree to these terms.
